Free property software can be worth investigating, but the absence of a subscription charge does not answer every question about suitability. A landlord still needs a workable process for records, communications and follow-up tasks. This evaluation guide was reviewed on 16 October 2026.
Define what free includes
Ask for the current terms of the free service. Check limits on properties, users, storage and the functions you intend to use. Establish whether a trial becomes a paid subscription or whether particular actions attract separate charges.
Use your expected workload when comparing options. A limit that is comfortable today may become awkward if you add a property or need another person to help. Record the likely cost of that change rather than assuming the arrangement will remain free.
Avoid relying on a historical product comparison for current prices or features. Confirm the relevant details directly with the provider.
Test essential records
Create a fictional property and complete a few routine tasks. Check that dates, attachments and outstanding work remain understandable when viewed later.
Try an export before committing real records. Open the result outside the service and check whether the information is useful. A file that downloads successfully may still omit relationships or attachments needed to understand it.
Review access and recovery arrangements. The ICO's security guidance treats keeping personal information available and secure as part of proper information handling. A free price does not remove the need to assess those arrangements.
Understand the ongoing commitment
Ask what support is available and how problems are reported. Decide whether you can manage the setup yourself or need help that carries a separate cost.
Check what happens if the provider changes the free tier or stops offering the service. Keep a practical record of how you would retrieve your information and move essential work elsewhere.
Consider your own time as part of the decision. If routine tasks require repeated manual work, compare that effort with other options before committing.
Choose a free service because its current terms and tested functions fit the portfolio, not because the headline price makes further checks seem unnecessary.
