Property accounting software needs to produce records that you and your accountant can explain. A low subscription price is poor value if transactions are repeatedly misclassified or reports cannot be reconciled. This archive guide was reviewed on 16 October 2026, with outdated tax timing and unsupported product rankings removed.

Establish the tax requirements first

HMRC states that Making Tax Digital for Income Tax applies from April 2026 to relevant unincorporated businesses and landlords with qualifying self-employment and property income over £50,000. Lower thresholds follow in later years. Check the detailed eligibility rules and any exemption with your accountant; a portfolio’s value or profit is not the same measure as qualifying income.

Ask a shortlisted supplier to identify the exact submission workflow it supports and any additional software needed. Keep that answer with the quotation. A general promise to help with tax is less useful than showing which records become which submission and who reviews them.

Reconcile a complete example

Use a test month containing rent received, a partial payment, an expense and a correction. Trace each item from the bank record to the property ledger and the report. Ask how the system prevents an imported transaction from being counted twice.

Then test an expense shared between properties and a payment entered against the wrong unit. Check whether the correction leaves a clear history. Avoid accepting a demonstration that only shows perfectly matched transactions: exceptions are where staff need the clearest controls.

Agree responsibilities and keep an exit route

Decide who reviews uncertain entries, who approves changes and when the accountant receives access. Ask which permissions allow viewing, editing or submitting information. Test the reports your adviser actually uses before migrating a full year of records.

Finally, export the test data and attachments. Confirm that the result remains understandable outside the system and ask about retention after cancellation. Choose on the strength of this evidence, the complete cost and the support available, rather than a claim that one package automatically makes every landlord compliant.
