A compliance reminder is useful only if it leads to the right action. Property software should help the manager understand what is due, what has been completed and what still needs attention. This practical evaluation guide was reviewed on 16 October 2026.

Build the correct property record

Start with the responsibilities that apply to the particular home, its location and its tenancy arrangements. GOV.UK's landlord guidance identifies obligations relating to property safety and other aspects of letting. Check the relevant detailed requirements rather than treating a generic checklist as legal advice.

Record the evidence already held and identify any gaps. Confirm who will decide which tasks belong in the system and who will keep that configuration current.

Ask a software supplier how different requirements can be attached to different properties. Avoid assuming that every building in a mixed portfolio should receive the same reminders.

Test the full follow-up process

Use a fictional inspection to test the workflow. Record the booking, upload a sample report and add a follow-up task for an issue requiring attention. Check whether the system distinguishes these separate stages.

A completed appointment should not automatically imply that every issue is resolved. Ask how the person responsible can record further action, assign it to someone and attach evidence when the work is finished.

Test what happens when a task is overdue or its owner is unavailable. Establish how another colleague will see the problem and take responsibility. A reminder sent to an unattended inbox is a weak control.

Check evidence and oversight

Request a sample property report. It should be possible to understand the status of important tasks and find the supporting record without searching several systems.

Review permissions for changing dates, replacing documents and closing tasks. Decide how mistakes will be corrected and how the team will retain an understandable history.

During a trial, compare the software's view with a small set of existing property files. Investigate discrepancies before relying on the dashboard across the portfolio.

Choose the product around the process you need to run, including staff responsibility, professional inspections and follow-up work. Software can organise that process; it cannot make an unsafe property safe merely by displaying a completed status.
