A property-management platform becomes part of the landlord’s operating process, so choosing it involves more than comparing attractive dashboards. Define what good records and reliable handovers should look like before starting a trial.
Run the same test in each product
Use a sample property, tenancy, rent payment and repair request. Check whether an accountant or agent can receive the information they need without access to unrelated records. Then test an error correction and a change of tenancy.
Ask how attachments, communication histories and financial records are exported. An exit process matters even if you expect to keep the system for years.
Check responsibilities and scope
The ICO explains that small organisations handling personal data still have data-protection obligations. A supplier’s security features can support those duties, but do not remove the need to decide who can access tenant information and why.
Where tax reporting is required, compare the specific software with HMRC’s current compatibility guidance. Confirm whether an advertised function is included in the subscription being quoted.
Record the total price, user limits, support arrangements and any extra services needed. A trial should reveal whether the platform fits the size and complexity of your business. This approach avoids presenting a vendor’s promotional comparison as an independent ranking or promising that software alone makes a landlord compliant.
