A polished letter or an unusual legal phrase should not distract from the problem a tenant is reporting. Whether a person used an AI tool, a template or help from someone else, start by identifying what happened and what response they are seeking.

Separate the report from its wording

List the individual issues, relevant dates and supporting documents. Distinguish a repair request from a complaint about how an earlier request was handled. If a point is unclear, ask a focused question in plain language. Avoid turning the exchange into an argument about who wrote the letter.

Check assertions independently

Do not accept a quoted deadline, legal provision or alleged entitlement merely because it sounds formal. Check it against the applicable source and the tenancy’s jurisdiction. Equally, do not dismiss an accurate point because other parts of the letter are mistaken. Take advice where a legal conclusion would affect the response.

Explain the next action

A useful reply says which issues you understand, what you have checked, what action is planned and when the tenant can expect an update. Record disagreements calmly and explain the evidence behind your position. Keep urgent safety concerns moving through the appropriate response process while the complaint is considered.

Use the right complaints framework

The Housing Ombudsman’s Complaint Handling Code provides a structured reference for landlords within its scheme. Check which rules and redress arrangements apply to your own service; this article does not impose that scheme’s deadlines on every private landlord.

Keep a record of the complaint, your reply and promised follow-up. If AI helps draft a response, a person should check the facts and remove unsupported claims before it is sent.
