The purpose of an initial enquiry is to organise a useful viewing and clarify the property details. Keep that conversation distinct from a formal application or referencing process.

Confirm practical details first

Share the advertised rent, location, furnishings and availability. Ask about a convenient viewing time, preferred move-in date and any practical questions about the accommodation. Offer an accessible way to communicate rather than assuming every applicant can use the same online form.

Use a consistent process

Prepare a short set of relevant questions and use it consistently. Record factual answers rather than impressions about someone's background. Do not use personal characteristics, assumptions or an automated score as a substitute for a fair assessment. Check current rules for the jurisdiction before setting application criteria.

Collect only what the stage requires

The ICO's data-minimisation principle requires personal information to be adequate, relevant and limited to what is necessary. An enquiry about a viewing is not a reason to request a passport scan, full bank statement or unrelated personal history. Explain why any information is requested and how it will be used.

Set out the next step

Explain whether a viewing is confirmed and how a person can apply afterwards. If formal checks are needed, describe that separate process and its privacy information. Avoid promises about acceptance or tenancy terms before the necessary checks and advice are complete.
