Student accommodation software needs to cope with concentrated changeovers as well as ordinary weeks. Choosing it through a generic property dashboard can miss the tasks that become difficult when many residents arrive or leave together. This archive guide was reviewed on 16 October 2026 and rebuilt without unverified product rankings.

Model the handover at room level

Use invented records to represent several rooms with different departure and arrival dates. Add a room awaiting a repair and another awaiting an inspection. Ask the supplier to show who can confirm readiness and how staff distinguish a planned arrival from a room that is actually available.

Check whether documents and tasks attach to the building, room or occupancy. A repair history should not become difficult to find merely because the occupant changes. Ask staff to retrieve the relevant record during the demonstration without help from the salesperson.

Test communication and maintenance together

Create an example where an appointment changes after a resident has been contacted. Check what message is recorded, who can see it and whether the contractor receives the revised details. Include an alternative process for residents who cannot use the portal.

For comparison, MRI’s UK asset and repairs offering describes recording, scheduling and managing repair work. Such advertised capabilities can inform demonstration questions, but are not a recommendation that a particular product fits every student operation. Ask suppliers to show the exact configuration and integrations proposed for yours.

Keep tenancy decisions outside assumptions

Do not assume that software describing an academic year also determines the legal duration of an occupancy. Have the applicable tenancy or licence arrangements reviewed separately, then test whether the system can record them accurately without forcing misleading dates.

Agree migration checks, staff training and support during peak changeover periods. Compare the total cost and export options before deciding. The most useful evidence is a completed handover scenario with clear responsibilities, rather than a promise that automation will remove every administrative difficulty.
